1. Who we are

2. What we collect
When you send an enquiry. Our enquiry form asks for your name, email address, phone number, the treatment you are interested in, your preferred day and time, and any message you write. Only your name and email address are required.
When you contact us directly. If you phone or email us, we hold whatever you choose to tell us.
When you complete our consent form. Before a session we ask you to confirm your name, mobile number and email address, that you have no allergy to massage or body oils, that your doctor has advised massage is safe for you, and that you are 18 or over.
Health information. Before and during a session you tell us about allergies, injuries, medical conditions, medication and problem areas. Health information is treated as a special category of personal data under UK data protection law and is handled with extra care.
Technical information. Our hosting provider keeps standard server logs, which include IP addresses, for security and troubleshooting.
3. Why we use it
We use your information to reply to your enquiry, to arrange and confirm your appointment, and to deliver your treatment safely. We use health information solely to decide whether massage is safe for you and to adapt the session.
We do not sell your information. We do not share it for marketing. We do not send marketing emails.
4. Our lawful basis
For enquiries and bookings we rely on taking steps at your request before entering into a contract, and on our legitimate interest in responding to people who contact us.
For health information we rely on your explicit consent, which you give by telling us about your health so that we can treat you safely. You can withdraw that consent at any time, though we may then be unable to provide treatment.
5. Where your information goes
Enquiries submitted through this website are sent to us by email at info@workbreak.co.uk. Enquiry form submissions are not stored in a database on this website.
Consent form submissions are different. Because a consent declaration may need to be retrieved later, each submission is saved as a private record on this website alongside being emailed to us. That record holds only your name, mobile number, email address, the confirmation you gave and the date and time. We do not record your IP address or any browser information with it. Only we can see these records.
Our website is hosted by Hostinger, who process data on our behalf as our hosting provider. Our email is provided by Google.
6. How long we keep it
We keep enquiry correspondence for up to 24 months from your last contact with us, so that we can pick up where we left off if you come back to us.
Where we hold notes relating to a treatment, including health information, we keep them for up to 7 years, in line with normal practice for treatment records and our insurance requirements. Consent records are kept for the same 7 year period, as they form part of your treatment record. After these periods we delete the information.
7. Cookies and tracking
This website does not use analytics, advertising or tracking cookies. We do not use Google Analytics, advertising pixels or similar tools, and we do not build profiles of visitors.
Visiting a page on this site does not set any cookie. WordPress may set a small number of strictly necessary cookies if you interact with certain features, and our hosting provider may set a cookie relating to caching and security.
8. Third party services on this website
Google Fonts. Our typefaces are loaded from Google Fonts. Your browser contacts Google to download them, which means Google receives your IP address.
Google Maps. Our About and Contact pages embed a Google map showing our location. When that map loads, Google receives your IP address and may set its own cookies. Google is an independent controller of that data and its own privacy policy applies.
We have deliberately kept third party services on this website to this minimum.
9. Your rights
Under UK data protection law you have the right to ask us to give you a copy of the information we hold about you, to correct it if it is wrong, to delete it, to restrict how we use it, to object to our use of it, and to receive it in a portable format. Where we rely on your consent, you may withdraw it at any time.
To exercise any of these rights, email info@workbreak.co.uk. We will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113.
10. Keeping your information secure
This website is served over an encrypted connection. Access to enquiry emails and treatment notes is limited to the people who need it to run the business. We ask you not to send health information through social media or other unsecured channels.
11. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last changed.
